Recording working time is mandatory — not someday, but now.

In 2022 the German Federal Labour Court ruled (1 ABR 22/21) that employers in Germany must systematically record their employees' working time — start, end, and duration, including breaks. Excel spreadsheets and paper notes cannot meet this requirement in the long run.

HaiSoTec Times does not implement the requirements of the German Working Hours Act (ArbZG) after the fact in reports, but live during recording: mandatory breaks start automatically, the daily maximum working time is enforced, and on Sundays and public holidays the clock stays locked. Whatever is not compliant is shown honestly — not quietly „repaired“.

No system can prevent a working day from occasionally turning out differently than planned. HaiSoTec Times handles this honestly: a non-compliant day is shown as such — there is no retroactive „smoothing over“ of breaks, because that would be a falsification of time records (§ 22 ArbZG). Your records stand up to any inspection because they show the truth.

What counts is the number of employees using time tracking. Within a band your invoice does not change; only when you exceed it does the next band apply automatically — no application, no contract amendment. In the bundle, the number of personnel files counts.

Times pays off where evidential depth, a separate environment of your own and the link to the personnel file matter. Importing working times from CSV or Excel is part of the licence and yours to use; a data migration we carry out for you is billed by effort.

Are we really obliged to record working time?

How does Times ensure compliance with the German Working Hours Act?

The system starts mandatory breaks automatically (30 minutes after more than 6 hours of working time, 45 minutes after more than 9 hours), and reminds you in good time beforehand. After 10 hours recording ends automatically, and on Sundays and public holidays it stays locked. Manual entries that would violate these rules are rejected by the system as soon as they are entered.

What happens if a day still ends up non-compliant?

Then it is honestly flagged as a violation — for managers in a dedicated compliance overview. Retroactive „corrections“ that enter breaks that were never taken are deliberately not possible: that would be a falsification of time records (§ 22 ArbZG).

Can employees change their times retroactively?

Within a deadline you define, yes — every change with a full before-and-after log. Older days are locked and can only be edited via an explicit release by a manager. Admin corrections always require a reason.

How does leave management work?

Employees request absences digitally — for a full day or by the hour. Managers approve centrally, and the leave account (including carry-over and special leave) keeps track automatically. Sick notes can be uploaded directly as a photo or PDF.

Are leave and sickness credited correctly to working time?

Yes. Paid absences and public holidays are credited as hours — valued at the contractual daily working time — and shown in timesheets and exports separately from actual working time. This keeps overtime and payroll correct even in months with leave.

Does Times also work on the go on a smartphone?

Times is built consistently for the smartphone — clocking in, requests, and timesheets work just as conveniently on mobile as on the desktop. No installation is needed; a browser is enough.

How do the times reach our payroll?

Via monthly PDF timesheets and Excel exports with separate columns for working time, credits, and paid hours — per employee or per project. Existing records can be imported via CSV/Excel.

Where is the data hosted?

On Google Cloud in Frankfurt (EU), operated by HaiSoTec — GDPR-compliant, with every customer instance fully separated.

Do you provide a data processing agreement (DPA)?

Yes. As the hosting provider we sign a GDPR-compliant data processing agreement (DPA). The draft is shared in advance for your review.

What happens to our data if we terminate?

On termination you receive — upon request — a full structured export (CSV / JSON) including attachments and history. The export is provided by us as a service. After an agreed retention period, your data is deleted in a documented process; backup copies expire automatically with the regular backup retention cycles.
