How does HaiSoTec Tickets fit into an existing ERP landscape?

Business partners are synced daily from the ERP via BigQuery; orders, contracts, employees, and service types are loaded on demand directly from BigQuery. Working hours flow back automatically once approved by the Ticket Review role. Proven in production with SAP Business One; additional ERP systems and webhook-based integrations on request.

Does HaiSoTec Tickets work with an ERP other than SAP Business One?

Yes. The requirement is that your ERP provides an API — then we connect it, along with line-of-business apps and webhooks in both directions. SAP Business One is the path we have already taken and packaged: the setup fee shown covers it. For another system we look at its interface and quote you individually — with a widely used ERP that is a manageable effort. So HaiSoTec Tickets is not tied to SAP: SAP is the route we have already travelled, not the only one.

What does HaiSoTec Tickets cost?

€38.50 per user per month, from three users, plus a one-off €498 to set up the system and the SAP Business One integration. The monthly price covers hosting in the Frankfurt am Main data centre, maintenance and updates, daily backups, monitoring and e-mail support — there is no separate hosting charge. Available as options: the Microsoft 365 integration (€7.50 per user per month, €199 one-off), online training (€540) and professional service (€135 per hour). Not included are the licences for the SAP integration, which you source directly from the respective vendor. The minimum term is 12 months. All prices are net and exclude VAT; our offering is aimed exclusively at businesses within the meaning of § 14 of the German Civil Code (BGB).

How does the AI assistant work?

The assistant sends the ticket title and description (after masking email addresses, phone numbers, IBAN and credit card numbers) to Gemini 2.5 Flash on Vertex AI in the Frankfurt region (europe-west3). The model returns a structured solution suggestion in German. Results are cached and displayed transparently with model and requester info — never as an unsolicited pop-up.

Is the digital signature legally sound?

Yes. Signatures are captured in the browser, protected with SHA-256, and attached to the PDF as a dedicated signature page. The SHA-256 hash makes any subsequent change immediately detectable — no printer, no scanner, no manual paperwork in between. Legally a simple electronic signature with a strong audit trail: valid for informal transactions (delivery notes, quotes, acceptance protocols) under German § 127 BGB.

Where is data hosted?

Data storage and processing take place in the Google Cloud data centre europe-west3 (Frankfurt), GDPR-compliant; Google is certified under the EU-US Data Privacy Framework. A data processing agreement is available on request.

Can we get a trial tenant before signing?

Yes. For qualified prospects we set up a dedicated trial tenant in the ticket system. You try configuration, roles, workflows, and integration with sample data before committing.

What do the Microsoft 365 and Google Workspace integrations give us?

E-mails to a shared mailbox are fetched automatically and turned into tickets. Known customers are recognised by their e-mail address, attachments are included. Calendar events appear on the dashboard. Sign-in via SSO (OAuth2 + PKCE). Available with either Microsoft 365 or Google Workspace.

How far can we configure the platform ourselves?

Admins have more than 20 individual permissions and can change statuses, priorities, categories, roles, text and e-mail templates, service types, and tax rates directly — no developer ticket needed.

How do working hours flow back into the ERP?

Technicians do not release their own hours. Completed tickets collect in the status “ready to invoice” and are checked by a dedicated “ticket review” role – either approved or corrected. Any correction stays traceable in the ticket history. Only after approval does the system write the hours back to the ERP automatically.

Do you provide a data processing agreement (DPA)?

Yes. As the hosting provider we sign a GDPR-compliant data processing agreement (DPA). The draft is shared in advance for your review.

What happens to our data if we terminate?

On termination you receive — upon request — a full structured export (CSV / JSON) including attachments and history. The export is provided by us as a service. After an agreed retention period, your data is deleted in a documented process; backup copies expire automatically with the regular backup retention cycles.

Is HaiSoTec Tickets a good fit for IT service providers and MSPs?

Yes. IT service providers and MSPs use HaiSoTec Tickets as the helpdesk for their customer support — as do internal IT departments for in-house requests. As an MSP you run customer support in the same workflow as an in-house IT department: requests arrive as tickets via the e-mail integration, working hours are recorded directly on the ticket with time tracking, and after approval by the Ticket Review role they are written back to SAP Business One automatically. This turns the service desk into one continuous process — from incident to billable service, with no duplicate maintenance.

Does HaiSoTec Tickets support service level agreements (SLAs) with response and resolution times?

Yes. Under "SLA targets" you define per priority how quickly a ticket must be answered (response time) and resolved (resolution time). The system monitors SLA deadlines automatically: a colour-coded countdown in the ticket view and table shows the remaining time — green, amber when the deadline approaches, red once it is exceeded. If a deadline is missed, escalation kicks in: the system flags the ticket and writes a history entry — depending on your settings, the priority is raised, the status is changed or the assigned agents are notified by e-mail.
